Make Scanned PDFs Easier to Read Before You Share Them

Scans often arrive with familiar little problems: a page is sideways, two sheets are in the wrong order, a blank reverse side is included, or the document is much larger than it needs to be. Taking five minutes to review a scan makes it far easier for someone else to use.

Organise PDF pages

A simple way to do it

1. Inspect at normal sizeDo not judge a scan only from a thumbnail. Open it at a readable zoom and check names, reference numbers, signatures, and fine print.
2. Fix orientation firstRotate any sideways or upside-down pages before you do anything else. A rotated page is easy to miss once the file becomes part of a larger bundle.
3. Remove obvious noiseDelete blank pages, repeated scans, and pages that belong to another document. Keep originals elsewhere until you are satisfied with the cleaned copy.
4. Put pages in reading orderUse page thumbnails to place covers, continuation pages, and attachments where a new reader would expect them.
5. Check the exported PDFDownload the finished file and open it once. Confirm the page count and that the last page is not clipped or missing.

Common mistakes to avoid

Take a final moment to inspect the exact file, image, or text you will share. That small check is often more valuable than another round of automated cleanup.

Questions people ask

Can I rotate only one page?

Yes. Select the affected thumbnail and rotate that page rather than changing the entire document.

What should I do with the original scan?

Keep it separately until the recipient confirms they can use the cleaned version.
